Vacancy: GIT Operation/Reservation Officer

Overall job purpose

GIT Officer will be responsible for the group series bookings from 1 customer, which is a Dutch Adventurous Outbound Tour Operator with 2 brands in Indonesia. He/she will be responsible for all the reservations to our suppliers like hotels, transport companies, booking domestic airline tickets etc. He/she will also have a close contact to with the Dutch Tour Leaders and will be handling all their requirements like visas and international tickets.

tasks & responsibillities
  • Arrange for the booking of ticket, accommodations, transportation and other assistance
  • needed by the client for the traveling and during the traveling
  • Record all booking elements step by step, correctly and completely in the respective Tour File, Work list and Operation Reminder
  • Answer telephone calls, handle all e-mails, faxes, written and personal enquiries from clients
  • Preparing, following up and confirmation block schema and sending to hotel and other suppliers
  • Preparing tour file, vouchering and sending confirmation to all supplier
  • Assist tour leader needs, budgeting according to the guidelines of each tour series
  • Making sure all the group needs will meet the requirement, including checking the tour operator website
  • Checking, updating all necessary data in order to get final result
  • Coordinate with accounting in invoicing process and making sure the accounting department receive the pro-forma invoice
  • Filing all correspondents and data
  • Handling and solving all operation problems that arise from internal operation or tours
  • Submitting or updating all new or revised information to every department concerned
  • Performing all task specifically asked by Happy Trails management according to a mutually agreed time schedule
Knowledge, Skills and Experience
  • Minimal 2-3 years experiences in same position at inbound tour operator
  • Excellent English, both spoken and written (Dutch is a plus)
  • Experienced in handling overland tours all over Indonesia
  • Able to communicate with overseas Tour managers in English
  • University graduate, preferable Tourism School
  • Excellent with Microsoft Office Program and Windows
